How do I archive emails in Outlook?

Archiving emails in Outlook moves them from your inbox (or another folder) to the Archive folder, helping to keep your primary folders organized without deleting important messages. Here's how to do it:

Steps to Archive Emails in Outlook:

  1. Select the Email(s): In Outlook, navigate to the folder containing the email(s) you want to archive (e.g., your Inbox, Sent Items). Select the specific email(s) by clicking on them. You can select multiple emails by holding down the Ctrl key (Windows) or Command key (Mac) while clicking.

  2. Archive the Email(s): There are a few ways to initiate the archive process:

    • Using the Archive Button: Look for the "Archive" button in the "Delete" group of the ribbon at the top of the Outlook window. It typically looks like a box with an arrow pointing down into it. Click this button.
    • Using the Backspace Key: Select the email(s) and press the Backspace key on your keyboard.
    • Right-Click Menu: Right-click on the selected email(s) and choose "Archive" from the context menu that appears.
    • Swipe (Mobile App): In the Outlook mobile app, you can often swipe left on an email to archive it.
  3. Locate Archived Emails: The selected email(s) will be moved to the "Archive" folder. You can find this folder in your folder list within Outlook. Depending on your Outlook setup, you might need to expand your mailbox to see all folders, including "Archive."
