Format Painter is a handy feature available in most Microsoft Office applications like Word, Excel, and PowerPoint. It allows you to copy the formatting (like font style, size, color, paragraph spacing, etc.) from one piece of text or object and apply it to another.

Accessing Format Painter

To open and use the Format Painter tool, you typically find it in the Home tab of the application's ribbon.

  1. Locate the Home tab on the main menu ribbon.
  2. Look for the Clipboard group of tools, which is usually positioned on the left side of the ribbon.
  3. Within the Clipboard group, you will find the Format Painter button. This button is easily identifiable by its paintbrush icon.

How to Use Format Painter

The way you click the Format Painter button determines whether you apply the formatting once or multiple times:

  • Single-Click: Click the Format Painter button once after selecting the text or object with the formatting you want to copy. This activates the tool for one application. Your cursor will change to a paintbrush. Click on the text or object where you want to apply the formatting. The Format Painter will turn off automatically after you apply the formatting.
  • Double-Click: As highlighted in the reference, double-click the Format Painter button after selecting the source formatting. This action activates the tool for continuous use. You can then click on multiple different pieces of text or objects to apply the copied formatting repeatedly without having to re-select the source or re-click the Format Painter button each time. To turn off the Format Painter after continuous use, simply press the Esc key on your keyboard or click the Format Painter button again.
