How to Create Gmail Filters?

Published in Gmail Filters 3 mins read

To create Gmail filters, start by opening Gmail and defining your search criteria, then create a filter based on those criteria.

Here's a step-by-step guide:

  1. Open Gmail: Go to Gmail in your web browser.

  2. Enter Your Search Criteria:

    • In the search bar at the top, enter the terms that define the emails you want to filter. This could be a sender's address, keywords in the subject or body, or other criteria.
    • For more advanced options, click the "Show search options" icon (it looks like three horizontal lines or sliders) in the search bar. This will expand a detailed search panel.
    • Fill in the relevant fields, such as:
      • From: Sender's email address.
      • To: Recipient's email address.
      • Subject: Keywords in the subject line.
      • Has the words: Keywords in the email body.
      • Doesn't have: Words you want to exclude.
      • Size: Email size range.
      • Date within: Time frame for the email.
      • Has attachment: Specifies whether or not the email has an attachment.
  3. Test Your Search (Optional): Click "Search" to see which emails match your criteria. This helps ensure your filter will work as expected.

  4. Create the Filter:

    • After defining your search criteria (whether simple or advanced), click the "Show search options" icon again (if you used it).
    • At the bottom of the search window, click the "Create filter" link.
  5. Choose Filter Actions: A new window will appear, presenting you with a range of actions to apply to matching emails:

    • Skip the Inbox (Archive it): Moves the email directly to your archive, bypassing the inbox.
    • Mark as Read: Automatically marks the email as read.
    • Star it: Adds a star to the email for easy identification.
    • Apply the label: Adds a label to the email (you can choose an existing label or create a new one). This is a great way to organize emails.
    • Forward it: Automatically forwards the email to another address.
    • Delete it: Automatically deletes the email. Use with caution!
    • Never send it to Spam: Prevents the email from being marked as spam.
    • Always mark it as important: Marks the email as important.
    • Never mark it as important: Marks the email as not important.
    • Categorize as: Assigns the email to a specific category (e.g., Primary, Social, Promotions, Updates, Forums).
  6. Create Filter: Select the desired actions and click the "Create filter" button. You can also choose "Also apply filter to matching conversations" to apply the filter to existing emails that match the criteria.

By following these steps, you can effectively create Gmail filters to manage and organize your email more efficiently.
