How to Setup Automatic Delete in Outlook?

Published in Outlook Rules 3 mins read

Setting up automatic deletion in Outlook primarily involves creating rules. Here's how you can manage these rules in Outlook on the web:

Accessing and Configuring Rules in Outlook on the Web

  1. Log in to Outlook: Open your web browser and go to Outlook.com or your organization's Outlook Web App (OWA) address. Sign in with your credentials.

  2. Open Settings: Click on the gear icon (Settings) located in the top right corner of the Outlook window. This will open the settings panel.

  3. Navigate to Mail Rules: In the settings panel, type "rules" in the search box or manually find the Mail section, then look for Rules. (Sometimes the path is: Mail -> Rules).

  4. Review Existing Rules: Examine the list of rules that are currently active. Pay close attention to any rule that involves deleting emails. These rules may have been set up previously and forgotten.

  5. Disable or Delete Auto-Delete Rules:

    • Disable: To temporarily stop a rule from running, toggle the switch next to the rule to the "Off" position.
    • Delete: To permanently remove a rule, select the rule and then click the trash can icon (delete) next to it. You will usually be prompted to confirm the deletion.

Creating Rules for Automatic Deletion (Caution Advised)

While possible, creating rules for automatic deletion should be done with extreme caution to avoid unintended data loss. If you choose to create such rules, follow these steps:

  1. Click "Add new rule".

  2. Name the rule. Give it a descriptive name like "Auto-Delete Spam" or "Auto-Delete Old Notifications".

  3. Set the condition. This is the trigger that will cause the email to be deleted. Common conditions include:

    • Sender's address: If the email is from a specific address.
    • Subject: If the email contains certain keywords in the subject line.
    • Keywords: If the email contains specific keywords in the body of the email.
  4. Set the action. This is what happens when the condition is met. Choose the option to "Delete" or "Move to Deleted Items". Moving to Deleted Items is generally safer, as it allows for recovery.

  5. Add Exceptions (Optional): Add exceptions to prevent important emails from being deleted. For example, if you're deleting emails with the word "promotion" in the subject, you might add an exception for emails from your boss.

  6. Save the rule.

Important Considerations:

  • Double-check the conditions before saving the rule. Incorrect conditions can lead to important emails being deleted.
  • Regularly review your rules to ensure they are still working as intended.
  • Use "Move to Deleted Items" as the action instead of "Delete" if you want a safety net.
  • Back up your important emails regularly to protect against accidental data loss due to rules.
  • Creating and using automatic deletion rules carries a risk of losing important information, so proceed cautiously.

By carefully managing your Outlook rules, you can control automatic deletion settings and maintain a clean and organized inbox.
