How to Apply Formatting from One PowerPoint Table to Others

Published in PowerPoint Table Formatting 3 mins read

While PowerPoint does not have a single built-in button to format all tables in a presentation simultaneously with one click, the primary method for applying consistent formatting from one table to another is using the Table Format Painter. This feature allows you to quickly copy the look and feel of a styled table and apply it to other tables individually.

To apply the formatting from a table you like to other tables in your presentation, you can utilize the Table Format Painter feature:

  1. Select the Source Table: Start by clicking on the PowerPoint table that already has your preferred formatting.
  2. Activate Format Painter: With the source table selected, click the Table Format Painter feature. You can find this tool usually on the Table Design tab (or similar, depending on your PowerPoint version) in the Table Styles group.
  3. Apply Formatting to Target Table: Next, navigate to the slide containing the table you want to format. Click on the target PowerPoint table to apply the copied formatting.

The target table will instantly update, adopting the copied table formatting from your source table.

Applying Formatting to Multiple Tables

Using the Table Format Painter feature as described above is the standard way to apply consistent formatting from one table to others in PowerPoint. While you apply the formatting to one target table at a time with a single click, this method allows you to efficiently replicate a design across numerous tables throughout your presentation without manually recreating styles, shading, borders, and other table design elements for each one.

To format several tables using the same source format, you would repeat steps 2 and 3 for each additional table you wish to format.

Summary of Table Formatting Steps

Here is a quick overview of the process:

  • Choose: Select the table with the desired formatting.
  • Copy: Click the Table Format Painter button.
  • Paste: Click on the target table(s) one by one.

This process, while not a single "format all" command, is the method available via the Table Format Painter to efficiently apply consistent formatting across different tables in your PowerPoint presentation.
