How to Connect in Visio?

Published in Visio Connections 3 mins read

Connecting shapes in Visio allows you to show relationships and create flows in your diagrams. The primary method involves using the dedicated Connector tool.

Steps to Connect Shapes in Visio

Connecting two shapes is a straightforward process using the built-in tools. Follow these steps to draw a connector line between elements in your Visio diagram:

  1. Select the Connector Tool:

    • Go to the Home tab on the ribbon.
    • In the Tools group, click on the Connector tool.
    • Alternatively, you can press the keyboard shortcut Ctrl+3.

This tool changes your mouse cursor, allowing you to draw lines that connect shapes.

  2. Draw the Connection:

    • Click on the first shape you want to connect. Visio might show connection points on the shape's outline.
    • Drag your mouse cursor from the connection point (or anywhere on the first shape) to the second shape.
    • Release the mouse button when your cursor is over the second shape. Visio will automatically draw a connector line between the two shapes.

Practical Tip: For shapes with connection points, dragging from a connection point to another connection point ensures the connector stays attached even if you move the shapes later.

  3. Return to Pointer Tool:

    • Once you have finished drawing your connectors, it's important to switch back to the default selection tool.
    • Go to the Home tab.
    • In the Tools group, click on the Pointer Tool.
    • Alternatively, you can press the keyboard shortcut Ctrl+1.

Switching back allows you to select, move, and resize shapes and connectors without drawing new lines accidentally.

Understanding Visio Connectors

Connectors are dynamic lines that stay "glued" to the shapes they are connected to. If you move one of the shapes, the connector automatically adjusts its path to maintain the connection. This is crucial for creating professional diagrams like flowcharts, organization charts, and network diagrams where the relationships between objects need to be clearly visualized and maintained as you refine the layout.

You can format connectors by changing their color, thickness, line style (solid, dashed), and adding arrowheads to indicate direction.

Quick Reference: Tools & Shortcuts

Tool Location Shortcut Purpose
Connector Home > Tools group Ctrl+3 Draw lines to connect shapes dynamically
Pointer Tool Home > Tools group Ctrl+1 Select, move, and resize objects

By following these simple steps using the Connector tool and returning to the Pointer Tool, you can effectively connect shapes and build complex diagrams in Microsoft Visio.
