How do I link shapes in Visio?

Published in Visio Shapes 3 mins read

Linking shapes in Microsoft Visio is essential for creating clear diagrams and flowcharts. You can connect shapes automatically as you add them or link existing shapes on your drawing page.

There are two primary methods to link shapes in Visio: using the AutoConnect feature and using the Connector tool.

Using AutoConnect (Adding New Shapes)

The AutoConnect feature allows you to quickly add a shape and automatically link it to an existing one in a single step. This is particularly useful when building diagrams sequentially.

Here's how to use AutoConnect based on the provided reference:

  1. Enable AutoConnect: On the View tab, in the Visual Aids group, ensure that AutoConnect is selected. If the box is unchecked, click it to enable the feature.
  2. Add the first shape: Drag a shape from the Shapes pane onto your drawing page.
  3. Hover to reveal arrows: Hold the pointer over the shape you just added or an existing shape on the page. AutoConnect arrows will appear around the shape (typically on the four sides).
  4. Point in the desired direction: Hold the pointer over the AutoConnect arrow pointing in the direction where you want to add and connect the next shape.
  5. Add and connect the next shape: A mini toolbar appears showing shapes from the Quick Shapes stencil. Click the shape you want to add from the toolbar. Visio adds the shape and automatically connects it to the first shape with a default connector.

Practical Tip: The shapes shown in the mini toolbar are typically the top four shapes from the Quick Shapes stencil associated with your diagram type. You can customize Quick Shapes for easier access to your most used shapes.

Using the Connector Tool (Linking Existing Shapes)

The Connector tool allows you to link two shapes that are already present on your drawing page. This is ideal for connecting shapes added at different times or rearranging connections between existing shapes.

  1. Select the Connector tool: On the Home tab, in the Tools group, click the Connector tool (it looks like an arrow with a line).
  2. Drag to connect: Click and hold the mouse button down on a connection point or the border of the first shape. Connection points appear as small blue crosses or squares when you hover over the shape.
  3. Release on the second shape: Drag the connector line to a connection point or the border of the second shape you want to link. Release the mouse button when the second shape is highlighted or a connection point is visible.
  4. Switch back to Pointer Tool: After adding connectors, it's good practice to switch back to the Pointer Tool (the arrow icon on the Home tab) to select and move shapes easily without drawing more connectors accidentally.

Connecting to a shape's border allows the connector to move with the shape, typically attaching to the closest point on the border. Connecting to a specific connection point keeps the connector fixed to that point, even if the shape moves.

Connecting shapes helps illustrate relationships, flow, and structure in your diagrams, making them clear and easy to follow.
